Role Summary
Responsible for the day-to-day administration of human resource matters pertaining to staffing, compensation and benefits for all level of employees. This includes the coordination, management and administering of all related systems, procedures and policies which shall be in compliance with
the local legislation in Malaysia.
Assist the Regional Human Resource Manager in the execution and coordination of Human Resource Development and Human Resource Management initiatives and related activities.
Role Responsibilities
Recruitment & Selection
• Responsible for the full recruitment activities, liaising with Regional Human Resource Manager and Hiring Managers to understand organizational talent needs.
• Identify good recruitment channels/partners and negotiate for the most reasonable cost.
• Ensure job advertisements are placed at the right channels to attract the right talents, review and revise the job advertisements on a regularly basis to ensure in-coming responses
• Ensure all recruitments (including external partners) are in compliant with the local legislation requirements, eg. available work permit quota, work pass applications, etc.
• Be involved in the interview and selection process for certain level of employees, conduct reference checks to ensure the right hire and advise Hiring Manager on any discrepancies
• Prepare and issue employment contracts – ensure employment contracts are compliant with the local legislation
• Responsible for all On-Boarding processes – new hire announcement in consultation with the Regional Human Resource Manager, orientation, IT/office set-up, etc.
Learning & Development
• Coordinate the Annual Training Plan in consultation with the Country Manager and Department Managers to build competencies and meet business needs
• Follow up on all training applications (internal/external), attendance record and evaluation forms
• Follow up on all employee reviews, eg. Confirmation Review, Yearly Performance Review, etc. and update on Training / Development Plans
Payroll Administration
• Ensure timely update and maintenance of all employees’ records in the payroll system
• Work with external payroll vendor:
• To process payroll in an accurate and timely manner, ensuring compliance to local legislation
• To calculate and administer all leaves, overtime and benefits records
• To process tax clearance for foreigners in accordance with local legislation
• Prepare monthly payroll reporting to Finance in an accurate and timely manner
Compensation & Benefits
• Administer employee medical insurances and work with Company-appointed Broker to advise Country Manager if current plans are competitive
• Ensure Company-appointed Broker provides reasonable and cost-effective quotes during engagement and / renewal of employee medical plans
• Register New Hires and de-register Leavers in the employee medical insurance plans in a timely manner
HR Administration
• Generate all HR / Employee documents in an accurate and timely manner, ensuring consistency and professionalism – in review Regional Human Resource Manager
• Maintain integrity of all employee files, ensuring strictly confidentiality for efficient operation
• To assist the Regional Human Resource Manager for Annual Budgeting exercise and related monthly budget variance reports and activities
• Responsible for preparation and submission of all HR Reports, including to Legrand Group in an accurate and timely-manner – in review the Regional Human Resource Manager.
Others
• Advocate all company activities, create / foster positive relationships in the company
• Be the champion of all Employee Engagement Activities as part of HR proactive role, supporting the Regional Human Resource Manager.
• Be the HR Business Partner to all employees, to provide professional advice & coaching – in consultation Regional Human Resource Manager
Role Requirements
• Able to operate HR2000 Payroll System. (Compulsory)
• Minimum Bachelor’s Degree in Business or Human Resources with 3 – 4 years’ operational HR experience
• Possess strong communication and interpersonal skills, with a passion for people and engagement
• Proactive and resourceful, very hands-on and meticulous
• Independent, mature and self-motivated with a positive attitude
• Team player with good interpersonal skills
• Good communication skills in English (both written and spoken)
• Well-versed in MS Office (Excel, Access, Powerpoint, etc.)
• Knowledge of Employment Act, local practices and employment requirements
